Sending a CV is only half the job. The new CVs Sent page in Dashboard > Pipeline tracks every CV you send to a client and helps you follow it up for feedback, so no CV is forgotten and every client hears back from you.

Every CV you email from a candidate’s record appears on the page automatically. Each one has a status (Not Started, Awaiting Feedback, Feedback or No Response) and a follow-up due date, so you can see at a glance which CVs need attention today.

• See every CV sent, with the candidate, client, contact, vacancy, who sent it and when.
• Overview tiles and a By consultant breakdown show how many CVs are awaiting feedback, overdue, or have positive or negative feedback. Click a tile to filter the list.
• Log a follow-up in one click, recording the status, the medium and an optional journal entry with @mentions for your colleagues.
• Or follow up by email: the composer opens ready to go and sending the email logs the follow-up for you.
• Set a next follow-up date, view the full history, or reassign a CV to a colleague.
• Filter by sent date, consultant or team, and vacancy or speculative CVs. Sort by any column and set your own default follow-up interval.

Access is controlled by two new permissions in [Settings > System Settings > Permissions]: View CVs Sent and View All Consultants’ CVs Sent.

The new Vacancy Progression report gives you a clearer view of how quickly vacancies are moving through your recruitment process.

You can use it to spot where vacancies are progressing well, where delays are building up, and how performance compares across consultants, teams, clients, or time periods. It is available from Dashboard > Reporting alongside your existing reports.

You can now add additional contacts to a vacancy

You can now add additional client contacts to a vacancy, alongside the main contact.

This gives you more control when sharing CVs or sending automated vacancy emails. For each message, you can choose whether it goes only to the main contact or to every contact linked to the vacancy.

Other Tweaks

You can now select and delete multiple files in bulk on a record’s Docs screen.

Your subscription includes 10 eSignature documents each month at no extra cost. Unlike many providers, we count documents, not individual signatures, so one document can include up to 10 signers without using up extra credits.

Click the notification to see the new matches.

To add a Radar, open Searches [a], click the ellipses [b] for a saved search and choose “Put on Radar”.

You can have up to 25 Radars at any one time.

You can create custom questionnaires, request specific documents from candidates, and create document packs for groups of documents that you frequently request together.

You can create your own labels, choose a colour for each, and display them as a column on the relevant grid for quick reference. Each record can have one label, making it a clear and consistent way to highlight its current category or priority.

Labels can be used however you like. For example, you could label vacancies as On Hold, Pending or Priority, or create client labels such as Prospective, Key Account or Follow Up.

You can now add rebate tiers and percentages globally, per client or per vacancy, making it easier to track where a placement sits within its rebate period. The rebate end date and current rebate amount can also be shown on the Vacancies grid, so key information is easy to see at a glance.

Journal Summaries

We’ve added automatic Journal Summaries to candidates, clients, contacts and vacancies.

When a record has journal entries, Recruit So Simple will summarise the three most recent journals into a short recap at the top of the Overview tab. This makes it easier to quickly understand recent activity without opening each journal individually.

The summary updates automatically when journal activity changes, helping keep the Overview screen useful and up to date.

New Automation System

We’ve introduced a new automation builder, making it easier to create follow-up sequences and save time on repetitive tasks.

Automations can now include multiple steps, each with its own timing and conditions. For example, you can send an email when a candidate is added, wait a few days, then send a follow-up SMS, create a task, add a tag or notify a colleague.

Steps can run immediately, after a delay, or around key dates such as interviews and placement start dates. Automations can also react to replies, helping you avoid unnecessary follow-ups when someone has already responded.

The new editor guides you through setup in four stages: When, Steps, Limits and Review. You’ll also see a clear history of what has run, what is scheduled, and anything that was skipped or could not be completed.

Here is what has changed.

Avatars

Avatars are now available across Recruit So Simple, giving records and user activity a clearer visual identity.

Candidates, clients, contacts and vacancies can now appear with photo or initials-based avatars in record headers, dashboards, grids and quick previews. This makes busy areas of the system easier to scan, especially when moving between records or reviewing dashboard activity.

Profile photo upload has also been improved. The new avatar editor lets you pan and zoom before saving, so photos can be cropped more accurately. The image is prepared in the browser before upload, helping keep the saved avatar consistent and lightweight.

Refreshed record pages

Candidate, client, contact and vacancy records have been updated with a cleaner layout across their main pages.

Details, documents, employment, vacancies, contacts, sites and sharing pages now follow the newer Recruit So Simple interface style. The result is a more consistent record experience, with clearer page structure, improved spacing and a shared mini-header that keeps the current record context visible as you work.

This is especially useful when moving between different sections of a record, such as checking a candidate’s documents, reviewing client contacts or updating vacancy details.

Improved Update CV and Merge pages

The Update CV and Merge pages have also been brought into the refreshed record-page design.

Update CV now has a clearer layout for reviewing the current CV, AI summary and extracted history information. It also works better on smaller screens, with the preview and summary areas stacking neatly on mobile instead of overflowing the page.

The Merge page has been updated to match the same style, making record clean-up feel more consistent with the rest of the candidate and record management workflow.

Configurable record overview widgets

Record overview pages can now support configurable widgets.

The first widgets include a CV Summary widget and a Timeline widget. Users can arrange the overview around the information they use most, helping each person keep the most relevant record details closer to hand.

The Timeline widget is optional and switched off by default, so teams can enable it only where it is useful.

Smarter candidate matching defaults

Candidate Matching now starts with more practical location defaults.

For new matching views, Recruit So Simple prioritises candidates within 50 miles and in the same country. This gives recruiters a more focused starting point while still allowing the filters to be changed when a wider search is needed.

Saved matching preferences for a vacancy are still respected, so existing vacancy-specific settings continue to behave as expected.

Dashboard Recent Mentions filtering

The Recent Mentions dashboard widget now gives managers more control over what they are reviewing.

The widget can now filter by the person who wrote the mention or by the user who was mentioned. This helps managers find activity involving a particular consultant or team, whether they want to review what someone has written or where someone has been brought into a conversation.

Data export security alerts

Administrators can now enable email alerts when data is exported from an account.

Selected active administrators receive a notification showing who exported data, what was exported, when it happened and the IP address used. The alert covers the main export routes, including grids, vacancy pipeline exports, candidate groups, search results, reports, document send history and full-account data exports.

This gives account administrators better visibility when information leaves the system.

Weekly Activity Report

Administrators can now receive a weekly email summary of account security activity.

The report covers the previous seven days and includes successful logins, failed or blocked login attempts, data exports and whether two-factor authentication is enabled for each user. It is designed to give account owners and managers a regular overview of important user and security activity without needing to check the system log manually.

Reports settings

The new reporting controls are grouped under a dedicated Reports section in System Settings.

This keeps the Weekly Activity Report and Data Export Security Alerts together, while still respecting the existing permissions for each feature.
