<p>This update brings a more personal and polished feel to Recruit So Simple, with new avatars across records and dashboards, refreshed record pages, improved candidate tools, more flexible record overviews, and new reporting tools for administrators.</p>



<p>The main changes are:</p>

<p>Here is what has changed.</p>



<h2 class="wp-block-heading" id="avatars" >Avatars</h2>



<p>Avatars are now available across Recruit So Simple, giving records and user activity a clearer visual identity.</p>



<p>Candidates, clients, contacts and vacancies can now appear with photo or initials-based avatars in record headers, dashboards, grids and quick previews. This makes busy areas of the system easier to scan, especially when moving between records or reviewing dashboard activity.</p>



<p>Profile photo upload has also been improved. The new avatar editor lets you pan and zoom before saving, so photos can be cropped more accurately. The image is prepared in the browser before upload, helping keep the saved avatar consistent and lightweight.</p>



<h2 class="wp-block-heading" id="refreshed-record-pages" >Refreshed record pages</h2>



<p>Candidate, client, contact and vacancy records have been updated with a cleaner layout across their main pages.</p>



<p>Details, documents, employment, vacancies, contacts, sites and sharing pages now follow the newer Recruit So Simple interface style. The result is a more consistent record experience, with clearer page structure, improved spacing and a shared mini-header that keeps the current record context visible as you work.</p>



<p>This is especially useful when moving between different sections of a record, such as checking a candidate&#8217;s documents, reviewing client contacts or updating vacancy details.</p>



<h2 class="wp-block-heading" id="improved-update-cv-and-merge-pages" >Improved Update CV and Merge pages</h2>



<p>The Update CV and Merge pages have also been brought into the refreshed record-page design.</p>



<p>Update CV now has a clearer layout for reviewing the current CV, AI summary and extracted history information. It also works better on smaller screens, with the preview and summary areas stacking neatly on mobile instead of overflowing the page.</p>



<p>The Merge page has been updated to match the same style, making record clean-up feel more consistent with the rest of the candidate and record management workflow.</p>



<h2 class="wp-block-heading" id="configurable-record-overview-widgets" >Configurable record overview widgets</h2>



<p>Record overview pages can now support configurable widgets.</p>



<p>The first widgets include a CV Summary widget and a Timeline widget. Users can arrange the overview around the information they use most, helping each person keep the most relevant record details closer to hand.</p>



<p>The Timeline widget is optional and switched off by default, so teams can enable it only where it is useful.</p>



<h2 class="wp-block-heading" id="smarter-candidate-matching-defaults" >Smarter candidate matching defaults</h2>



<p>Candidate Matching now starts with more practical location defaults.</p>



<p>For new matching views, Recruit So Simple prioritises candidates within 50 miles and in the same country. This gives recruiters a more focused starting point while still allowing the filters to be changed when a wider search is needed.</p>



<p>Saved matching preferences for a vacancy are still respected, so existing vacancy-specific settings continue to behave as expected.</p>



<h2 class="wp-block-heading" id="dashboard-recent-mentions-filtering" >Dashboard Recent Mentions filtering</h2>



<p>The Recent Mentions dashboard widget now gives managers more control over what they are reviewing.</p>



<p>The widget can now filter by the person who wrote the mention or by the user who was mentioned. This helps managers find activity involving a particular consultant or team, whether they want to review what someone has written or where someone has been brought into a conversation.</p>



<h2 class="wp-block-heading" id="data-export-security-alerts" >Data export security alerts</h2>



<p>Administrators can now enable email alerts when data is exported from an account.</p>



<p>Selected active administrators receive a notification showing who exported data, what was exported, when it happened and the IP address used. The alert covers the main export routes, including grids, vacancy pipeline exports, candidate groups, search results, reports, document send history and full-account data exports.</p>



<p>This gives account administrators better visibility when information leaves the system.</p>



<h2 class="wp-block-heading" id="weekly-activity-report" >Weekly Activity Report</h2>



<p>Administrators can now receive a weekly email summary of account security activity.</p>



<p>The report covers the previous seven days and includes successful logins, failed or blocked login attempts, data exports and whether two-factor authentication is enabled for each user. It is designed to give account owners and managers a regular overview of important user and security activity without needing to check the system log manually.</p>



<h2 class="wp-block-heading" id="reports-settings" >Reports settings</h2>



<p>The new reporting controls are grouped under a dedicated Reports section in System Settings.</p>



<p>This keeps the Weekly Activity Report and Data Export Security Alerts together, while still respecting the existing permissions for each feature.</p>

<p>Previously, if you added, removed or reordered columns, changed sorting, applied filters, adjusted search criteria, or customised the grid in any way, those changes would be lost when you navigated away from the grid unless you saved them as a search.</p>



<p>Now, you can make changes, open records, move around the system, and return to the grid exactly as you left it.</p>

<h3 class="wp-block-heading" id="a-few-things-to-note" >A few things to note</h3>



<ul class="wp-block-list">
<li>Temporary grid changes are remembered until you log out or are automatically logged out (this happens after 2 hours of inactivity).</li>



<li>When you next log in, your default grid will be loaded (or the system default if you haven&#8217;t set one).</li>



<li>If you&#8217;re working from your custom default or a saved search, and you make changes, you&#8217;ll have the option <strong><mark style="background-color:rgba(0, 0, 0, 0)" class="has-inline-color has-luminous-vivid-orange-color">[a]</mark></strong> to either:
<ul class="wp-block-list">
<li><strong>Update</strong> the saved search with your changes.</li>



<li><strong>Reset</strong> the grid back to the original saved search settings.</li>
</ul>

</ul>



<p>To save the current grid as a new search, click <strong>Searches</strong> <strong><mark style="background-color:rgba(0, 0, 0, 0)" class="has-inline-color has-luminous-vivid-orange-color">[b]</mark></strong> from the toolbar and choose <strong>Create New</strong>.</p>



<p>This update makes it much easier to perform one-off tasks without having to create additional saved searches just to preserve temporary changes.</p>

<p><strong><a href="https://docs.recruitsosimple.com/knowledge-base/candidate-matching/" data-type="ht_kb" data-id="4364">Candidate Matching</a></strong> helps you move from a vacancy to a focused shortlist much more quickly. It reads the vacancy details, identifies the key requirements, then searches candidate records for relevant job titles, desired roles, CV skills, experience, qualifications, education and previous roles.</p>



<p>This is intended to support recruiter judgement, not replace it. The aim is to surface stronger candidates sooner, reduce repetitive searching and give consultants a better starting point for review.</p>



<p><strong>Note:</strong> If you do not yet see the <strong>Matching</strong> button, your database is still being indexed and enriched. This is a one-time process for existing candidate data. Depending on the size of your database, it may take from a few hours to a couple of days. Once it is complete, the button will appear automatically and you can continue using the system as normal in the meantime.</p>

<p><strong><a href="https://docs.recruitsosimple.com/knowledge-base/mentions/" data-type="ht_kb" data-id="4747">Mentions</a></strong> are now available in journal entries, so you can bring colleagues into the conversation and link related CRM records directly in the note.</p>



<p>Type <code>@</code> in the journal editor to mention a user, candidate, contact, client or vacancy. Mentions appear as inline chips, making handovers, shortlist reviews and follow-up notes easier to read later.</p>



<p>You can also use the <strong>Mentions Me</strong> journal filter and the <strong>Recent Mentions</strong> dashboard widget to find updates that need your attention.</p>

<h2 class="wp-block-heading" id="split-fees" id="split-fees" >Split Fees</h2>



<p><strong><a href="https://docs.recruitsosimple.com/knowledge-base/split-fees/" data-type="ht_kb" data-id="4887">Split Fees</a></strong> let you divide a placement fee between multiple consultants when more than one person contributed to the deal.</p>



<p>Once enabled, a <strong>Split Fee</strong> section appears on the placement form. Tick <strong>Split this fee between consultants</strong>, add each consultant and set their percentage. The live total helps you confirm that the split reaches 100% before saving.</p>



<p>Revenue and placement counts are then attributed proportionally. For example, a 60/40 split credits 0.6 of a placement to one consultant and 0.4 to the other, so reporting reflects the work more accurately.</p>

<p>Duplicate checking is now available for Clients and Contacts. It helps you identify potential duplicate records, compare matching details and keep your database cleaner with less manual checking.</p>



<p>For teams working at pace, this should reduce admin, avoid confusion and make it easier to maintain a single reliable view of each organisation and contact.</p>

<p>The Vacancies grid has moved to the newer dynamic grid style already used across other key areas of the system. You can customise columns, build and save advanced searches, apply filters and focus more quickly on the vacancies that need attention.</p>



<p>If you already use the newer Candidates, Clients or Contacts grids, the Vacancies grid should now feel familiar and more flexible.</p>

<p>The new <strong>Consultant Log</strong> dashboard widget gives team leaders a clearer view of user activity over the last seven days. It can be filtered by time period, consultant and activity type.</p>



<p><strong>CV Summaries</strong> have also been improved. They generate structured summaries from candidate CVs, including professional background, current role, qualifications, key skills, achievements and previous experience. If a summary is not already available, use <strong>Generate CV Summary</strong> from the candidate record. Completed summaries are saved to the record for faster review and shortlisting.</p>

<h2 class="wp-block-heading" id="automation-updates" id="automation-updates" >Automation updates</h2>



<p>Automated emails are now more flexible. They can be sent to custom email addresses, and when a custom address is used you can change the recipient while previewing the triggered email. Start typing to select a contact or candidate, or enter a new email address manually.</p>



<p>This is useful for situations such as interview reminders where a different client contact is handling the interview.</p>



<p>Automated tasks have also been improved. Start, due and reminder dates can now be based on interview dates and candidate start dates, rather than only the date the automation was triggered.</p>



<h2 class="wp-block-heading" id="other-improvements" id="other-improvements" >Other improvements</h2>



<ul class="wp-block-list">
<li>The <a href="https://docs.recruitsosimple.com/knowledge-base/dashboard/" data-type="ht_kb" data-id="4418">Priority Vacancy</a> dashboard widget now includes the date of the last vacancy status change, making it easier to spot which vacancies are actively being worked on.</li>



<li>The number of saved searches has increased from 50 to 100 for each user across the Candidates, Clients, Contacts and Vacancies grids.</li>



<li>The <a href="https://docs.recruitsosimple.com/knowledge-base/dashboard/" data-type="ht_kb" data-id="4418">Quick Stats</a> dashboard widget in Consultant view now reflects the consultant&#8217;s own activity for Placements MTD and Open Positions.</li>



<li>We have also made a number of smaller interface improvements across the system.</li>

<p>Some deals are a team effort, and now your numbers can reflect that. Split Fees lets you divide a single placement&#8217;s fee between two or more consultants, so everyone who helped get a candidate over the line gets their fair share of the credit.</p>



<p>Once an administrator switches it on under [System Settings &gt; Company Details], a new Split Fee section appears on the placement form. Tick Split this fee between consultants, add each person involved, and set their percentages — a live total keeps you right as you go, so you can see at a glance that you&#8217;ve allocated the full 100%. A 60/40 split, for example, credits 0.6 and 0.4 of the placement and divides the revenue in the same proportion.</p>



<p>The split then flows straight through to your dashboards, goal tracking and team leaderboards, so individual figures stay accurate without ever-changing your company-wide totals. There&#8217;s also a dedicated Split Fees report that breaks down every shared placement by consultant and their share. And if you ever stop splitting, your past splits stay exactly as they were — turning the feature off simply means new placements go back to crediting a single consultant.</p>

<p>When setting up an automated email in <strong>[Settings > Automation]</strong>, you can now add a custom email address as the recipient &#8211; not just a candidate or client contact.</p>



<p>When previewing an automated email after it has been triggered, you can also choose a different recipient by searching for a candidate or contact. For example, this is useful when a different client contact will be conducting the interview and should receive the automated interview reminder email.</p>



<p>Automated tasks relating to interviews or candidate placements can now use start, due and reminder dates based on the interview date or candidate start date &#8211; rather than only the date the task was triggered.</p>
